Terms & Conditions
1. Scope of work
Shaping Words provides services focused on reviewing, restructuring, and rewriting existing client-facing information to improve clarity, readability, and accessibility. This may include adjustments to language, structure, layout suggestions, and visual hierarchy.
Shaping Words does not provide veterinary advice, diagnosis, treatment recommendations, or clinical decision-making. All clinical responsibility remains with the commissioning practice.
2. Use of content
All materials produced are intended to sit alongside clinical guidance provided by a veterinary professional.
The commissioning practice is responsible for:
reviewing the content for clinical accuracy
approving the final version before use
ensuring compliance with relevant professional, regulatory, and legal requirements
3. Ownership and licensing
Unless otherwise agreed in writing:
The commissioning practice is granted a non-exclusive, perpetual licence to use the final approved materials within their practice (including print, email, website, and client messaging).
Copyright of the underlying structure, wording, and design concepts remains with Shaping Words.
Shaping Words retains the right to refer to anonymised or redacted examples of work for portfolio or illustrative purposes, unless confidentiality has been explicitly agreed.
4. Revisions
The agreed fee includes:
one round of reasonable revisions based on feedback to the initial draft
Additional revisions or changes outside the agreed scope may be subject to an additional fee, which will be discussed in advance.
5. Fees and payment
Fees are agreed in advance and confirmed before work begins.
Unless otherwise stated:
Invoices are issued once the revised resource is delivered
Payment is due within 14 days of invoice date
Late payment may delay future work.
6. Timelines
Estimated timelines are provided in good faith and may vary depending on:
responsiveness to feedback
changes in scope
availability of source material
Shaping Words will communicate promptly if timelines need to change.
7. Liability
Shaping Words is not liable for:
clinical outcomes
interpretation or use of the materials by clients
decisions made based on the materials
The commissioning practice remains fully responsible for how information is used in practice.
8. Confidentiality
Any confidential information shared during a project will be treated with care and not disclosed to third parties without permission.
9. Acceptance
Commissioning work constitutes acceptance of these Terms & Conditions.
